Raising the Bar with Full Turnkey Solution for Large Government Client
One of the most challenging projects that the Instant Offices Managed team has worked on involved a large government client with a very precise and demanding conferencing and training facilities requirement for the central London area. The client had a bespoke requirement which specified an unusual level of detail, including size and number of ancillary rooms, and chair and table models.
The client also demanded value for money against conventional office options; the provision of a full turnkey solution within a predetermined budget and for a 24-month term; and for the space to be delivered within a tight timeframe. These demands combined to make for a formidable task and, following a fruitless search of its own, this large government body decided to put its requirement out to formal tender.
Instant Offices Managed was the only commercial property solutions provider that was able to meet the client’s exact and demanding requirements. Working in close association with the building owner, Instant Offices Managed structured a deal that granted the client all the flexibility it required while keeping the solution highly cost-effective both in terms of initial outlay, thanks to the division’s excellent network of suppliers, and ongoing costs.
Instant Offices Managed sourced, fitted out and delivered 20,000 sq ft space in London’s West End, to specification, to budget and to programme, and occupation took place within seven weeks of finalising the legal formalities and agreeing terms. It is estimated that the client saved £1 million over two years compared to a conventional leasing model.
18 months later and feedback from the client is that the solution Instant Offices Managed delivered has been a success, with the facility achieving high attendance levels throughout its occupation.
Instant Offices Managed has been commended by the client for not only providing flexible, bespoke and affordable accommodation within tight timescales, but also for offering technology and design expertise on how to exploit the space to maximise operational benefits. The client also reports that fixed costs for the full term have helped it to capture additional external funding streams and to provide sound budgetary controls that have driven business efficiency across the board.
Clearly, the brief was challenging, but Instant Offices Managed successfully created an agreement in partnership with the building owner that would see the client occupy a half floor of a prestigious Grade A building in Victoria.
The deal satisfied the complex demands of this government body and in turn secured the first tenant for the building. With IOM on board, the channels to market were extended from conventional leases and lettings, to the whole market at large, including large corporate and government organisations, looking for project and short term space. Subsequently, full occupancy was achieved rapidly.
